1. Scope
This policy governs all HannaHow subscriptions (Foundation, Essential, Professional, and Enterprise), whether purchased online (card/Stripe) or by invoice/PO. If you have a signed Master Services Agreement (MSA) or Statement of Work (SOW), those terms control if there is any conflict with this policy.
2. Key definitions
- Billing cycle: The period you paid for (monthly or annual).
- Renewal date: The date your current billing cycle renews.
- Admin: The person who manages your organization’s HannaHow subscription.
3. How to cancel (California online-cancellation compliant)
If you enrolled online, you can cancel online anytime—no phone call required. Your request is considered received immediately upon submission.
- Account portal (fastest): Account → Billing → Manage Plan → Cancel Subscription
- Web form: https://hannacenter.org/services/training/hannahow/cancellation/ (keeps a timestamped record)
- Email: [email protected] (from your account email; include org name and desired end date)
We will confirm your cancellation by email and show the exact end date of access.
4. 30-day advance notice (to stop the next renewal)
To prevent the next renewal charge, you must give at least 30 days’ advance written notice before your renewal date. If notice is received ≥30 days before renewal, your plan ends at the end of the current billing cycle and no new charge will occur. If notice is received <30 days before renewal, one final renewal will process, and the plan ends at the end of the following cycle.
Examples (monthly):
- Renewal Oct 31 → Cancel on Oct 1 (≥30 days before Nov 30): no Nov charge; access ends Oct 31.
- Renewal Oct 31 → Cancel on Oct 20 (<30 days before Nov 30): one final charge Oct 31; access ends Nov 30.
This 30-day notice rule appears in the SOW for auto-renewals and applies unless your signed order form says otherwise.
5. Refunds & proration
- Monthly: No refunds or credits for partial months or unused features.
- Annual (prepaid): Fees are non-refundable once charged, except where required by law or if expressly stated in a signed agreement.
- Course access: If any course content is accessed during the paid period, refunds are not provided.
- Trials/Promos: When billing begins after a free or promotional period, standard cancellation and refund rules apply.
6. Seat changes (team plans)
- Reducing seats: Provide 30-day advance notice; reductions take effect on the next renewal. No mid-cycle credits.
- Adding seats mid-cycle: Billed on a pro-rated basis to the renewal date (if you use proration in billing).
7. Where this policy interacts with invoices/POs
For customers paying by invoice or purchase order, this policy applies unless your signed order form or MSA/SOW states different cancellation, term, or renewal rules. If there’s a conflict, the signed agreement governs.
8. Our right to suspend or terminate
We may suspend or terminate for non-payment, misuse, legal/risk reasons, or material breach. If HannaHow is discontinued in full (not for cause), we’ll give at least 30 days’ notice and provide a pro-rated refund for any prepaid, unused period.
9. Renewal reminders (California ARL)
For annual or multi-month terms that auto-renew, we send a renewal reminder 15–45 days before renewal with clear instructions to cancel online.
10. California disclosures at checkout
We display auto-renewal terms clearly during checkout, obtain affirmative consent to recurring charges, send a post-purchase confirmation email summarizing renewal and cancellation, and provide easy online cancellation at all times. (California Business & Professions Code §17600 et seq.)
11. Access end & data export
Access continues through the end of your paid term. After that, we may delete or archive account data under our Data Retention practices. Please export records you need before your term ends.
12. Disputes & chargebacks
Please contact [email protected] first for billing questions. Unauthorized chargebacks may lead to suspension until resolved.
13. Changes to this policy
We may update this policy; material changes will be posted with a new effective date. If required, we’ll also notify account owners by email.
